Who we are and what this notice covers
AdvisorCRM Inc., a Texas corporation, operates AdvisorCRM Studio. This notice explains how we handle information from visitors to advisorcrm.studio, prospective customers, and participants in introductory and software-development sessions. Our services are intended for financial advisors, insurance professionals, and their teams in the United States.
Customer agreements and applicable service privacy terms separately address information processed within the AdvisorCRM and Studio software.
Information we collect
We collect information you submit, such as your name, business email, role, practice name and website, booking details, messages, software ideas, and business branding you choose to provide. If you request an original Library document, we collect your business email and information needed to fulfill and protect that request. Reading a public Library document does not require an email.
We may gather information from your practice’s public website to identify your business, prepare for a conversation, and understand the software you want to build.
Our website and service providers also process technical information needed to deliver and protect the site, such as connection information and request records. Optional website activity tracking is described below.
Please do not submit real client information through this website or share it during introductory or development sessions. Use fictional examples or information from which client-identifying details have been removed.
How we use information
We use information to respond to inquiries, provide requested resources, arrange and prepare for sessions, understand your practice’s requirements, develop the software your practice builds with us, and operate and protect the website.
If you submit your email, we may also email you about AdvisorCRM and Studio, including when you leave without completing a booking or do not become a customer. Our marketing follow-up is by email. You can unsubscribe from marketing emails at any time. Unsubscribing does not stop messages needed to fulfill your requests or provide an existing service.
Optional website activity
With your permission, we remember pages, examples, and selected actions you explore on the website. We may also record the referring website and campaign information. If you provide your email, we can associate that activity with the address you provide to help prepare for your session. An association with an email is not verification of who performed the activity.
You can decline tracking or change your choice through . Declining does not prevent booking. We honor supported Global Privacy Control and Do Not Track signals for this optional tracking. We store your choice in your browser and use a cookie to recognize an opted-in browser. We do not record your keystrokes through this activity feature. With your permission, Google Analytics and PostHog help us measure public website visits and selected actions. We send page paths and limited campaign and referring-site information, without names, email addresses, form contents, or URL query strings. These providers also process technical information needed to receive those events. PostHog receives a random browser identifier; contact names and email associations remain in our own systems. Advertising personalization, Google Signals, automatic form tracking, and session recordings are not enabled. Our admin and customer portal pages are excluded.
Meetings and AI services
Before recording or transcribing a session, we explain its purpose and ask participants to agree. If anyone declines, we continue without recording or automated transcription.
We use recordings, transcripts, summaries, and selected meeting information only to help develop the software that the participating practice is building with us. We do not use this meeting material for marketing.
We use third-party AI services for tasks such as researching public business information, summarizing meetings, organizing requirements, and assisting software development. Relevant information may be processed by these services. We retain summaries and development notes in our business systems for the purposes described here.
Who receives information
Our personnel and service providers may handle information to perform the work described in this notice. Provider categories include hosting and storage, business email, scheduling, meetings and transcription, public-business research, AI processing, and business-record management. We use Campaign Monitor for marketing email, Calendly for scheduling, and Zoom or Google Meet for meetings.
We do not sell or rent visitor or contact information, or share it with partners for their own marketing. We may disclose information when required by law or when reasonably necessary to address fraud, security incidents, or legal claims.
How long we keep information
For people who do not become customers, we keep contact information, inquiries, booking history, preparation notes, and stored meeting summaries for up to 24 months after the last meaningful interaction. An interaction includes an inquiry, reply, booking, attended session, or resource request. Sending a marketing email or detecting an email open does not restart that period. Afterward, we delete the information or permanently remove identifying details.
We keep detailed optional website activity in our own systems for 90 days after each activity, then delete it or convert it to anonymous totals. Google Analytics event and user data retention is set to two months without extending it for new activity; aggregated reports may remain available longer. Its browser identifier expires after 90 days without automatically extending on each visit. PostHog stores its copy separately under its provider retention rules. Our free plan specifies one year of event history, but automatic retention is being introduced gradually and events may remain until deleted where it is not yet enforced.
Original recordings and transcripts follow the retention settings applied to our Zoom and Google accounts. Those settings may retain material until it is deleted and do not necessarily provide a fixed automatic deletion date. Summaries and selected meeting information that we store separately follow the prospect or customer retention periods described in this notice.
We retain the limited information needed to honor an unsubscribe request for as long as we send marketing emails. Information needed for an active customer’s software and service follows the applicable customer retention policy and agreement; customer status does not automatically preserve earlier website activity.
Some information may need to be kept longer for a legal obligation or dispute. We limit that retention to the information and time required.
Your choices and requests
Use the unsubscribe option in a marketing email to stop future marketing emails. Use to change optional website tracking. Withdrawing tracking permission stops future optional tracking; it is separate from requesting deletion of previously stored information.
You can request access to, correction of, or deletion of information you provided by contacting privacy@advisorcrm.com. We may need to verify your identity before responding. Applicable law may provide additional rights or permit us to retain certain information.
Updates and contact
We may update this notice as our practices change. The effective date identifies the current version. If a change requires additional notice or permission, we will provide it.
